Senior Data Coordinator

About the Role

The Data Coordinator will play a vital role within our Data Team, focusing on tasks such as donation processing, maintaining data quality, organizing files, and managing constituents. You’ll work closely with other departments, particularly Development and Accounting, using Salesforce for various tasks and process improvements.

Expectations & Responsibilities

  • Manage the processing of direct mail, including tracking gifts in Salesforce and corresponding with donors via phone or mail.
  • Assist in data entry into Salesforce to maintain complete and accurate organization and revenue records.
  • Extract donation reports from various portals/sources and input them into Salesforce.
  • Provide support to the Development team on Salesforce projects, including donor and fundraising reports, duplicate management, and data cleanup.
  • Maintain frequent communication with the finance team for monthly reconciliation between Salesforce and bank statements.
  • Process credit card transactions and follow up on canceled or changed credit cards.
  • Assist with annual signature events, including managing revenue and donor records, and post-event cleanup.
  • Monitor retail data flow from Shopify to Salesforce.
  • Collaborate with the Development team to ensure proper tracking of soft credits and donation matching.
  • Support ongoing staff training in data tools and resources, including Shopify, Classy, PayPal, Stripe, OneCause, Double the Donation, Microsoft Suite, and more.
  • Complete other assignments from the Data Team as directed.

Experience & Skills

  • Bachelor’s degree in a related field or 1-3 years of demonstrated proficiency with Salesforce (bonus points for experience with Nonprofit Success Pack!) or similar CRM.
  • Excellent organizational, analytical, and project planning skills.
    Meticulous and accurate, with the ability to make careful and considerate changes.
  • Understanding of data’s impact at different levels and the benefits of automation.
    Observant, with a keen eye for details while mindful of the bigger picture.
  • Desire to innovate, update, or replace existing processes to improve staff quality of life.
  • Comfortable working both independently and collaboratively within a team.
    Proven ability to work under pressure, multitask, and meet deadlines.
  • Effective and efficient communication with staff of varying technical abilities.
  • Patience and determination to find solutions from different angles when not immediately apparent.
  • Ability to adapt to and navigate various apps and technologies seamlessly.
  • A strong passion for Heal the Bay’s mission and a genuine love for the environment are a plus.

Compensation

$21 – $24 an hour. This position is non-exempt, excluding benefits but including accrued sick time. This part-time position requires an average of 25-29 hours per week.
